Terms and Conditions for Challenge Event Fundraisers
Conditions of use
“Dementia Carers Count/We/Us/Our” means Dementia Carers Count (the working name for The Royal Surgical Aid Society Registered Charity Number 216613), whose registered office address is Canopi, 82 Tanner Street, London, SE1 3GN. The charity that has reserved Your place in the chosen Event.
“You/Your/Yourself” means the person agreeing to be bound by these terms and conditions and who is using a Dementia Carers Count place to take part in an Event.
“Event” means the event you have signed up to take part in.
1. Participation
You acknowledge that participation in the Event may be physically demanding, and You are aware of the nature of the Event and associated medical and physical risks involved.
You agree that you are physically capable of taking part in the Event and agree to be solely responsible for your actions and save as provided elsewhere in these terms and conditions. Dementia Carers Count are not responsible for any injury or illness that You may suffer as a result of Your participation in the Event.
The minimum age of entry is 18 years at the date of the event.
You have read, agree to and accept the Event Organiser’s General Conditions of Entry – and it is your responsibility to clearly read these ahead of signing up. To the extent there is any conflict with these terms and conditions, the terms of the General Conditions of Entry shall prevail.
2. Bookings, Payments and Your fundraising obligations
Once registered, you will receive written confirmation of your place in the selected Event. Your entry and any fees associated are non-transferable and non-refundable after we have sent a written confirmation of your place. You may also be required to register Your place on the Event directly with the Event Organiser, in which case it is your responsibility to do so.
You shall not be eligible or entitled to participate in the Event and no binding contract shall exist between You and Us until We have provided You with written confirmation that the application was successful and full payment of the Entry Fee has been received.
In order to take part in the Event, you pledge to raise the minimum pledged sponsorship, excluding Gift Aid, clearly stated at time of sign-up. You agree to pay all sponsorship monies to Dementia Carers Count within four weeks of the date of the Event You’ll be allocated a dedicated person from Dementia Carers Count to support with your fundraising. Any concerns regarding ability to collect all sponsorship monies by the agreed date should be discussed with your dedicated person as soon as they arise.
You understand that by not raising the minimum sponsorship target, Dementia Carers Count would be at a loss.
If after registration we do not hear from you in a timely manner, we reserve the right to cancel and reallocate your place. Any fees will not be refunded.
If you are unable to take part in the event, all sponsorship money will be treated as a donation, unless your donors request the return of their sponsorship. In these cases, you must contact individual donors and ask them to contact Dementia Carers Count to request the refund. You also agree to:
- Notify Us as soon as reasonably possible of any incident that results in you being unable to take part in the event (whether medical or otherwise).
- Comply with any rules or regulation relating to the Event.
- Follow all instructions given to Us, the Event Organiser and any of Our or the Event Organiser’s agents, employees or workers, or any referees, stewards or other event officials in respect of the Event.
Withdrawal, Cancellations or Alterations
In limited circumstances in which, in the opinion of Dementia Carers Count, it would be reasonable to provide a refund. The decision of Dementia Carers Count on this matter is final.
You acknowledge that Dementia Carers Count places are limited, and payment of the Fee and reservation of the place affects our expenditure and income for the Event. Notice of withdrawal from the Event must be communicated by emailing [email protected] or by writing to The Public Fundraising Team, Dementia Carers Count, Canopi, 82 Tanner Street, London, SE1 3GN within 7 days of an event or incident that results in you being unable to take part in the event.
If you have purchased a charity place through Dementia Carers Count but need to withdraw from the event, Dementia Carers Count cannot guarantee you a deferral to the following event year.
Your place in the Event is non-transferrable, and You may not transfer it or any of Your other rights or obligations to any other person without our prior written consent from Us and provided that the Event Organiser consents to such transfer.
Places on the Event are strictly limited and are subject to availability. We may refuse entry to, remove, exclude or cancel Your place in the Event if:
- We consider that your participation in the Event will bring the Event, the Event Organiser or Dementia Carers Count into disrepute or otherwise damage the reputation of Dementia Carers Count, the Event or the Event Organiser
- The Event Organiser refuses entry at any time.
If you are unhappy with any decision made regarding your event place, deferral or fees due our Complaints Policy seeks to ensure that all complaints will be managed promptly, thoroughly, impartially, and sympathetically.
Data Protection
By entering into this agreement, You consent to any personal information provided by You or collected about You in connection with the Event being held and used by Us in relation to the Event.
You also consent to the personal information provided by You being shared with the Event Organiser who may use it in connection with the organisation and/or administration of the Event or for other reasons associated with the Event.
We will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with our privacy policy.
You agree to inform Dementia Carers Count of any changes to the information supplied as soon as such changes occur.
